This Privacy Policy describes how Akribian EdTech AB (“Akribian”, “we”, “our”, or “us”) processes personal data when you use our website or Count on Me.


Count on Me can be used through schools and by families. How personal data is processed, and who is responsible for it, depends on how the service is being used.


We take particular care when processing information relating to children and design Count on Me to minimise the amount of identifying information needed to provide the learning experience.

1. Who We Are

2. Scope of This Policy

This Privacy Policy applies to:

  • visitors and users of our website, akribian.com;

  • schools, teachers and other school staff using Count on Me;

  • pupils using Count on Me through their school; and

  • parents, guardians and families using Count on Me directly.

Different information is processed depending on how you interact with our services.

 

3. When Count on Me Is Used Through a School


When a school chooses to use Count on Me, the school determines the purposes for which pupils' personal data is processed.

For pupil data processed as part of the school's use of Count on Me, the school is the data controller and Akribian acts as a data processor on behalf of the school.

Akribian processes this information according to the school's instructions and the applicable agreement between the school and Akribian.


If a pupil or guardian wants to exercise their data protection rights in relation to a school account, the request should normally be made to the school. Akribian assists the school where required.

 

4. Information Processed for School Users

 

Count on Me is designed to minimise the amount of personal information needed about pupils.

Pupils are primarily represented within the service through unique codes or identifiers. Count on Me does not require pupils to provide their full name, date of birth, home address or personal identity number in order to use the learning experience.

 

Teachers may choose how pupils are displayed within their teacher dashboard, for example by using a pupil's name, initials, nickname or another identifier that helps the teacher recognise the pupil. This information is used to help the teacher manage their class and is not required for the underlying learning experience.

Depending on how the school chooses to use Count on Me, we may therefore process:

 

Account and school information

  • a unique pupil code or account identifier;

  • a name, nickname, initials or other label if added by the school or teacher;

  • school and class or learning group; and

  • information necessary to manage access to the service.

 

Learning information

  • exercises and activities completed;

  • answers given and whether they were correct or incorrect;

  • time spent on exercises and activities;

  • progress through the learning experience;

  • mathematical skills and areas practised; and

  • learning progress and information generated from the pupil's activity.

 

Technical information

  • login and session information;

  • device or browser information where necessary for operation and support;

  • timestamps; and

  • technical and security information.

We use codes and identifiers wherever possible so that learning data does not need to rely on a pupil's real-world identity.

 

5. Teacher Dashboard

Teachers using Count on Me may be able to see information about pupils they are authorised to teach.

This may include learning progress, completed activities, mathematical skill development and information intended to help teachers identify areas where a pupil or class may benefit from additional support.

Teachers can choose how pupils are displayed in their dashboard, allowing them to use the identifiers that work best for their classroom.

Other pupils do not have access to another pupil's learning results.

The purpose of the dashboard is to support teachers in understanding learning progress. Teachers and schools remain responsible for how this information is interpreted and used in teaching.

6. When Count on Me Is Used by Families

 

When a parent or guardian creates an account or purchases Count on Me directly, Akribian is generally the data controller for the personal data processed as part of that service.

Depending on the features being used, we may process:

 

Parent or guardian information

  • name;

  • email address;

  • account information;

  • subscription or purchase information; and

  • communication and support history.

 

Child learning information

  • a name, nickname, profile name or other identifier chosen for the child;

  • learning activity;

  • answers and progress;

  • mathematical skill information; and

  • information necessary to personalise the learning experience.

 

We aim to minimise identifying information about children. A child's date of birth, home address or personal identity number is not required to provide the standard learning experience.

Payment information may be processed by the relevant payment provider or app store and does not need to be stored directly by Akribian.

. Website and Contact Information

When you visit our website, certain technical information may be collected automatically, such as:

  • IP address;

  • browser and device information;

  • pages visited;

  • referring website;

  • timestamps; and

  • cookie or analytics information where applicable.

 

If you contact us, register an interest, participate in a campaign or submit a form, we may also process information you provide, such as:

  • school or organisation;

  • role; and

  • the contents of your communication.

 

This information is used to operate our website, respond to enquiries, communicate with schools and users, and understand how our website is used.

Depending on the service and our relationship with the user, we may process personal data to:

  • provide and operate Count on Me;

  • create and manage accounts;

  • personalise the learning experience;

  • track learning progress;

  • provide teachers with information about learning progress;

  • provide technical and customer support;

  • maintain the security and reliability of our services;

  • administer subscriptions and school licences;

  • communicate with users and schools;

  • improve the functionality and educational quality of Count on Me; and

For school pupils, Akribian processes personal data according to the school's instructions and the applicable agreement with the school.

Where Akribian is the data controller, our legal basis may include performance of a contract, legitimate interests, consent where required, or compliance with legal obligations.

 

9. What We Do Not Do

 

We believe it is particularly important to be clear about how children's information is not used.

 

We do not:

  • sell pupils' personal data;

  • show behavioural advertising to pupils within Count on Me; or

  • require pupils to provide their full name, date of birth, home address, personal identity number, photographs, voice recordings or precise location to use the standard learning experience.

 

Our approach is to process only the information needed to provide, secure and improve the learning service.

 

10. Service Providers and Data Sharing

 

We use selected service providers to operate Count on Me and our website.

These providers may support areas such as:

  • cloud infrastructure and hosting;

  • authentication;

  • email and service communications;

  • payment and subscription processing;

  • website analytics; and

  • technical monitoring and security.

 

Service providers only receive information necessary for the service they perform and are required to process personal data in accordance with applicable agreements and data protection requirements.

For school data, providers processing personal data on Akribian's behalf are managed as sub-processors.

We may also disclose information where required by law or where necessary to establish, exercise or defend legal claims.

We do not sell personal data.

 

11. Where Information Is Processed

 

We aim to keep personal data within the European Union and European Economic Area whenever possible.

Our core Count on Me infrastructure is hosted within the EU.

Some specialised service providers may operate internationally or process certain information outside the EU/EEA.

Where personal data is transferred outside the EU/EEA, we use appropriate safeguards as required by applicable data protection law.

 

12. How Long We Keep Information

 

We keep personal data only for as long as necessary for the purposes for which it is processed or where we are required to retain it by law.

For school users, information is retained according to the school's instructions, the applicable agreement with the school and Akribian's retention procedures.

When a pupil is removed or a school's use of Count on Me ends, associated information is handled in accordance with our deletion and offboarding procedures.

Some information may remain temporarily in secure backups before those backups are replaced or deleted according to our backup procedures.

Certain information may need to be retained for longer where required by law, such as accounting or transactional records.

 

13. Security

 

We use technical and organisational measures designed to protect personal data against unauthorised access, loss, alteration or disclosure.

These measures include, where appropriate:

  • access controls;

  • encrypted communications;

  • controlled access to production systems;

  • backups;

  • monitoring and security procedures; and

  • procedures for managing security incidents.

 

Access to personal data is limited to authorised people and service providers who need the information to perform their work.

We also aim to keep production data separated from development and testing environments and use synthetic or non-identifying information for development wherever possible.

 

14. Children's Privacy

Count on Me is designed for children, and we take additional care when processing information relating to children.

Our approach is based on data minimisation. We aim to process only the information necessary to provide the learning experience.

 

A pupil does not need to provide their full name, date of birth, home address or personal identity number to use the standard learning experience.

Instead, Count on Me can use codes and identifiers to connect learning activity and progress to the correct pupil account.

 

When Count on Me is used through a school, pupils and guardians can contact the school with questions about how their information is used.

 

15. Your Data Protection Rights

Depending on the circumstances and applicable law, you may have the right to:

  • access your personal data;

  • correct inaccurate personal data;

  • request deletion of personal data;

  • request restriction of processing;

  • object to certain processing;

  • receive certain personal data in a portable format;

  • withdraw consent where processing is based on consent; and

  • lodge a complaint with a data protection authority.

 

When Count on Me is used through a school, requests concerning pupil information should normally be directed to the school because the school is the data controller.

16. Research, Pilots and Evaluation

 

Akribian may participate in research, school pilots or evaluations intended to understand mathematics learning or evaluate and improve Count on Me.

Where personal data is processed for a specific research project, pilot or evaluation, the responsibilities, purposes, legal basis and information provided to participants will depend on that project.

We aim to minimise identifying information in research and evaluation and use codes, pseudonymisation or aggregated information where appropriate.

Additional privacy information may therefore be provided separately to participating schools, teachers, pupils or guardians for a specific project.

 

17. Cookies and Website Analytics

Our website may use cookies and similar technologies that are necessary for the website to function and, where applicable, to understand how the website is used.

Where consent is legally required for optional analytics, marketing or similar technologies, they will only be used after the appropriate consent has been obtained.

Cookies and analytics used on our public website are separate from pupils' learning information within Count on Me.

We may update this Privacy Policy as Count on Me develops, when we introduce new functionality or when legal or regulatory requirements change.

The latest version will be available on our website together with the date it was last updated.
